We are currently seeking a dynamic Executive Assistantwho will provide support to the daily operations of the Global President, ensuring seamless coordination and support in all aspects of their day-to-day operations. As an Executive Assistant to the Global President, you will play a pivotal role in optimizing the productivity and effectiveness of our Global President, contributing directly to the success of our organization's mission and goals.

  • Efficiently manages the Presidents schedule, including arranging meetings, conferences, and appointments, while prioritizing conflicting commitments and ensuring optimal time management.
  • Anticipates the Presidents needs in advance of meetings, travel, speaking engagements and other commitments, conferences, etc.
  • Works closely with the President and, other executive team members to keep them well informed of upcoming commitments and responsibilities and follow up appropriately.
  • Serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the President.
  • Drafts correspondence on behalf of the President as needed.
  • Supports the executive team with internal and external meetings, including managing coordination such as catering, set-up, equipment, and other coordination.
  • Participates as an adjunct member of the Executive team including assisting in scheduling and preparing minutes for all meetings.
  • Builds and maintains positive relationships with key stakeholders, both internally and externally.
  • Assists with travel arrangements and appointments as needed. Plans, coordinates, and manages travel, including flights, accommodations, ground transportation, and itineraries.
  • Monitors and manages expense reports, reimbursements, and invoices, ensuring compliance with company travel policies and other expense related procedures.
  • Attends appropriate Cboe events, programs and meetings when needed.
  • Assists President with preparation of special correspondence to the Board, some of which are confidential in nature.
  • Prepares and manages coordination for Board meetings; schedules meetings; drafts agendas; and develops, compiles, and distributes presentation materials.

Candidate qualifications:

  • Bachelor's degree in business administration, Marketing, Communications, or Project Management or related field required.
  • Minimum of 5+ years related experience supporting C-Suite executives, required.
  • Strong understanding of inclusive leadership principles, relationship-based leadership models, and their application in diverse organizational settings.
  • Proven ability to handle confidential information.
  • Excellent written and verbal communication skills with the ability to adapt to communicate with diverse groups.
  • Exceptional project management and organizational skills, and the ability to manage multiple priorities in a complex environment.
  • Demonstrates initiative, consistent follow-through, and the ability to work independently. Demonstrates critical thinking and problem-solving skills.
  • Demonstrates attention to detail.
  • Must be able to demonstrate advanced proficiency technically such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), Atlassian Confluence. Salesforce knowledge an advantage.
